We are looking for an experienced Executive Assistant, who will provide an administrative support to several senior managers, including Group COO. Will free up time for senior managers by providing administrative, clerical, gatekeeping and logistics support. Will administer and help coordinate, programs, projects and events to support the goals of the Senior Leadership Team.
Main Responsibilities:
- Organize travel arrangements in coordination with or without our travel platform
- Visas formalities, applications and follow up
- Ensure accurate diary management / Outlook access
- Organize and prepare internal and external meetings for between 10 and 200 persons
- Check, approve and keep reporting of travel expenses for all direct reports
- Organize annual business meetings, seminars and customer meetings for the platforms (Coffee, Freight, Sugar, HR IT and EG/Extended EG /SLT Meetings)
- Administrative and back office tasks (greeting visitors, correspondence, calls, in charge of the Executive Directory, back up for the manager, maintaining a platform of communication within the team and with the reception)
Experience:
- 3-5 years of experience as Administrative assistant of high level executives
- Experience in a Global structure
- Deep and varied experience at event/seminar logistics/coordination/administration
- Experience in Outlook / Excel / Powerpoint (basic) / Workday (plus)/ Concur (plus)
- Fluent in English. French is a plus
