  • 1 year working experience. Experience within an office assistant role is essential

  • Fluent in English, another language a plus

  • Excellent knowledge of the Pack Office

  • Dynamic multi-tasker

  • Availability and sense of service, responsiveness

  • Proficient in all forms of communication

  • Highly organized, great time management skills

  • Ability to demonstrate excellent attention to detail, accuracy and rigor

  • Supporting Director and the Management team of GBS Sofia with external stakeholders, senior management and visitors

  • Planning, coordinating and managing and setting up meetings

  • Drafting administration policies and implementing new procedures

  • Calendar and inbox management

  • Ensuring actions and information requests are followed up appropriately

  • Regular handling of confidential and sensitive information with upmost discretion

  • Act as the point of contact among GBS Managers, employees, clients and other external partners

  • Manage information flow in a timely and accurate manner

  • Make travel and accommodation arrangements

  • Format information for internal and external communication – memos, emails, presentations, reports

  • Responsible for a broad scale of facility management tasks and reception desk activities

  • Ensure a high quality receptionist service by welcoming and assisting visitors

  • Distribute correspondence

  • Coordinate the complete mail flow and collect and distribute parcels

  • Order inventory, e.g. office supplies, drink, etc; see to it that machines are always filled

  • Order lunches upon request

  • Maintain security by following procedures, monitoring logbook

  • Schedule meetings and conference rooms, prepare them and keep them tidy

  • Create PO/PR‘s upon request and Support with filing
