Junior Facility Associate
Job Description
The purpose of the role is to support Cluster Procurement & Facilities Manager and Office Manager to ensure the smooth running of the office and develop intra-office communication protocols and streamline administrative processes.
As a Junior Facility Associate, you will have the following key accountabilities:
- Sorting and distributing all incoming and interoffice mail and deliveries
- Participating actively in the planning and execution of company events
- Monitoring cost of services and reporting excessive costs to the Cluster procurement & Facility Manager and Office Manager
- Obtaining vendor price quotations, preparing Shopping Carts and making adjustments where needed
- Seeking to identify cost- effective purchasing alternatives
- Monitoring vendor payment status to ensure purchase orders are not over-billed and vendors receive timely payment to avoid disruption in service
- Creating SLA’s for suppliers and ensuring vendor supplies goods and services to the required quality levels
- Supporting conference room schedule via Condeco Tool
- Supporting and coordinating office relocations and renovations
- Responding to employee queries in a timely and professional manner
- Providing other administrative support duties as required by the department or office
Now that you know what a Junior Facility Associate does, what skills, qualifications and experience do you need?
- University degree in: Economics, Bussiness Administration, Facility Management or other related area
- 1+ years of work experience in an administrative role will be considered an advantage
- Working level in English (B1 - B2)
- Good knowledge of MS Office (Word / Excel)
- Ability to work independently with minimal supervision
- Excellent communication skills
- Attention to detail and problem-solving skills
- Excellent time management skills and ability to multi-task and prioritize work
- Positive attitude and motivation to learn
