Key Responsibilities:
Ensuring that services or products are ordered in the ordering system as needed and ontime, taking into account the internal financial and purchasing guidelines
Order preparation, validation, implementation and monitoring
Processing standard SAP transactions, such as Sales Order Entry and Purchase Order creation
Validation of the requirements regarding the completeness and validity of the documents, as well as all necessary advance approvals
Supporting the project manager in applying for approvals
Interface between demand requester, purchasing and controlling with regard to the right choice of product groups and account assignment elements
Monitoring and tracking of the approval process as well as support of the approvers with processing questions
Regular feedback on the order status to the consumer
To ensure tracking of the goods receipt process and timely expense recording of the supplied order, if necessary clarification directly with the supplier
Support of the project manager in the coordination of dates (e.g. in the event of deviations from planned delivery dates, the project/resource manager is informed promptly)
Monitoring and provision of liabilities for the contract admin and controlling; Posting liabilities in the month-end closing process after approval of controlling
Tracking and checking the validity period of the order, residual value of the order commitment and, if necessary, creating an order extension (in consultation with the manager)
Timely processing of inquiries/analyses by controlling, purchasing, suppliers, service delivery
Support in the asset management process: application for Invest PSP elements, assignment of inventory numbers, notification of the commissioning of assets to asset accounting
Support of the project manager with invoice clarifications
Maintenance of the purchase-to-pay list as a basis for cost tracking, monthly accounts payable and balance sheet reviews
Application for the creation and modification of accounts payable and their master data
The successful candidate:
Bachelor's degree in Business Administration, Finance or related
Fluent in German and good knowledge of spoken and written English
Basic knowledge of accounting principles
Attention to detail and self-organized
Knowledge of SAP and order processing tools will be considered an advantage
